You can manage who your emails come from and how they look in "Site Settings › Email". To check your monthly sending quota or purchase additional credits, visit "Marketing › Newsletters" or "Site Settings › Usage" (see Usage Billing and Credits for details).
"Site Settings › Email" includes four sections: "Sending Domain," "Sender," "Newsletter Sending Interval," and "Email Branding." Click "Save" at the bottom of the page after making changes. These settings apply to all emails sent to your customers from your online store and marketing tools.
The sending domain is the part of your email address after the @ symbol (e.g., yourbrand.com in hello@yourbrand.com). Using your own domain helps customers recognize your brand and significantly reduces the chance of your emails being marked as spam. A Pro or Business plan is required to set up a custom sending domain.
If you haven't set up a custom sending domain, system notifications (like order confirmations) will be sent as "Your Site Name via Kanorio" from a default Kanorio email address. When customers click "Reply," the email will be sent to the contact email address configured in your site settings.
| Email Type | Before Domain Verification | After Verification | Counts Toward Monthly Limit |

| Form Confirmation Emails (Sent to submitters) | Paused | Sent from your custom domain | Yes (1 per email, Pro plan or higher required) |
| Team Notifications for Form Responses | Paused | Sent from your custom domain | Yes (1 per recipient, Pro plan or higher required) |
| Team Notifications for New Orders/Status | Sent from Kanorio default address | Sent using Kanorio template | No for 1st recipient, 1 per recipient from 2nd onwards |

Why must emails that count toward your quota be sent from your own domain? Because public forms can be filled out by anyone. If we allowed emails or newsletters to be sent from a shared platform domain, bad actors could abuse the system to send spam. Requiring you to verify your own domain ensures that your brand's sender reputation (SPF/DKIM) remains independent and unaffected by other websites.
Before verification is complete, and will be marked as "Requires Domain Verification." Any blocked emails will clearly show the reason in your .
yourbrand.com; do not include https:// or www). If your site already has a custom domain connected, the system will fill this in automatically.Tips:
- If your domain is already used for a business email (e.g., Google Workspace, Microsoft 365), you can use the root domain or a dedicated subdomain (e.g.,
mail.yourbrand.com). These verification records will not affect your existing MX records.- Public email domains like Gmail, Yahoo, or Outlook cannot be verified. Please use a domain you own. Each site can have one sending domain.
| Status | Meaning and Next Steps |
|---|---|
| Pending Verification | Waiting for global DNS propagation. The system will automatically check every 72 hours, or you can click "Re-check" at any time (30-second interval). |
| Verification Failed | Records do not match. Please ensure the name and value match the screen exactly, then click "Re-check" after correcting. |
| Verified | Verification successful! All emails sent to your customers will now come from your custom domain. |
| Verification Expired | The domain was previously verified, but the DNS records have since been deleted or modified externally. |
Configure these in the "Sender" section on the same page, then click "Save" at the bottom:
@ (e.g., hello, news, orders; only letters, numbers, and . _ + - are allowed; defaults to hello). The "Sender Preview" card on the right will show you exactly how it looks to customers.
Use the "Newsletter Sending Interval" to control how often a customer receives a newsletter, preventing them from feeling overwhelmed by frequent emails. You can choose 12 hours, 24 hours (default), 48 hours, 72 hours, or 7 days. Click "Save" after changing:
"Email Branding" is a visual template shared by all emails sent to customers (including store notifications, form confirmations, and newsletters). Set it once, and it applies to your entire site.
Adjust these settings at "Site Settings › Email › Email Branding" and click "Save" at the bottom:
Note: An "Unsubscribe" link is legally required at the bottom of newsletters and cannot be removed. Store notifications and form confirmations do not include an unsubscribe link.
There are two common reasons: first, the "Sending Domain is not verified," or second, "your monthly sending quota has been exhausted." Go to "Customers › Records" and click on the email record; the system will clearly state why it wasn't sent.
No! Order confirmations, shipping updates, and refund notifications are sent automatically on all plans and do not count toward your monthly sending quota. Before domain verification, they are sent from a default Kanorio email address; once verified, they are sent from your brand domain.
Not at all. Kanorio's verification records (SPF/DKIM) are added to a dedicated subdomain and will not affect your existing MX records used for receiving email.
For sender reputation and security, one domain can only be linked to one site as a sending domain. Please check if you have already set it up on another site, or use a dedicated subdomain (e.g., shop.yourbrand.com).
