Every customer on your website—whether they have made a purchase, filled out a form, or were added manually—is organized into a contact list. This guide explains where these contacts come from, how they are organized and segmented, and who receives your marketing emails.
Go to Customers in your dashboard. The first tab, "Contacts," contains the list for this specific website. Lists are kept separate for each website; you cannot view contacts from other websites.
The "Source" column in the list indicates how each person was added:
| Source | When it appears |
|---|---|
| Purchase | Buyer completes payment |
| Checkout consent | Buyer leaves contact info and agrees to receive marketing emails during checkout |
| Website form | Visitor submits an online form with an email or phone field |
| Manual add | You click "Add contact" to add them manually |
The system uses email or phone numbers to identify the same person. If the same email address submits a form and later places an order, it will result in only one contact. Form records and order history will accumulate under that profile, so you do not need to merge them manually.
Importing CSV lists is not currently supported.
You can add a contact without checking this box, but they will not receive marketing emails. This setting does not affect automated notifications like order confirmations or shipping updates.
Click on a contact in the list to open their "Contact Profile":
Store → Customers lists buyers who have completed a purchase on this website. It is ideal for checking what someone has bought or their total spending. This is a different view of the same group of people as the "Contacts" list: the Contacts list focuses on everyone and their subscription status, while the Store Customers list focuses on buyers and transactions.
List columns:
| Column | Content |
|---|---|
| Customer | Buyer name |
| Email address provided at checkout | |
| Primary payment method | Preferred payment tool |
| Country/Region | Buyer location |
| Marketing email subscription | Whether they agreed to receive marketing emails |
| Joined | Date of first purchase |
| Total sales | Total spending on products by this customer |
Total sales is the sum of product prices after discounts, excluding shipping fees. This calculation differs from the "Total paid" (which includes shipping) on individual orders.
You can use the search box to find names or emails, filter by date, and click "Export" to download a CSV. The CSV includes: Customer name, Email, Country/Region, Primary payment method, Joined date, Order count, Total sales, and Currency. The CSV does not include marketing email subscription status. If you plan to move this list to another tool for sending emails, please ensure everyone has consented to receive them.
Click a customer to view contact details, order count, total sales, and transaction history. For refunds and shipping, please go to Transactions, see Order and shipping status.
Segments are groups of people automatically filtered by conditions, such as "Purchased more than twice" or "Tagged as VIP." People who meet the conditions are added automatically, and those who don't are removed, so you don't have to manage the list manually. When sending a marketing email, you select a segment as your "Audience."
In the "Contacts" tab, click "Manage segments." Each segment is a card showing the number of people and a summary of conditions. Click to expand for full details. Pre-built segments include:
System segments are maintained by Kanorio and cannot be edited. If you need different conditions, please create your own segment.
To edit or delete your segments, click the card to modify it or click the trash icon. You can edit multiple segments at once; changes only take effect when you click "Save." Clicking "Cancel" discards all changes.
The card shows both "Matches conditions" and "Deliverable" counts. Deliverable contacts are those who have subscribed to marketing emails and have no bounce or spam records. If no conditions are set, it covers all subscribed contacts.
There are two types of emails you send, with different rules:
| Marketing Emails | Automated Notifications | |
|---|---|---|
| Who decides to send | You write the content and pick the audience | Sent automatically when a buyer orders or a visitor submits a form |
| Examples | New arrivals, holiday offers, event invites, newsletters | Order confirmation, shipping updates, form confirmation |
| Consent required | Yes, only to subscribers | No, always sent |
| Unsubscribe link | Required in every email, cannot be removed | None |
Most countries require that marketing content only be sent to people who have consented, and they must be able to unsubscribe at any time. Sending without consent may lead to penalties, and if recipients mark your emails as spam, your future emails are likely to go straight to their spam folders. See International Marketing Email Rules for specific regulations.
Every contact has a marketing email subscription status that determines one thing: whether they will receive the emails you send via the "Marketing" feature. Automated notifications like order confirmations and shipping updates ignore this status and are always sent.
| Status | Meaning |
|---|---|
| Subscribed | Will receive your marketing emails |
| Unsubscribed | Did not consent, will not receive |
| Unsubscribed | Opted out, will not receive |
| Bounced | Email previously bounced, will not receive |
| Marked as spam | Previously marked your email as spam, will not receive |
The checkout checkbox and consent text are provided by Kanorio and cannot be modified. Online form subscription notices have default text that you can customize in form settings.
Go to Store → Settings → Advanced settings under "Marketing email subscription." Use the "Show 'Receive marketing emails' checkbox at checkout (checked by default)" setting:
This can only be turned off if your business is located in Taiwan, Japan, South Korea, the US, Canada, Australia, New Zealand, or Singapore. Other regions (e.g., EU, UK, Switzerland, Hong Kong) require buyers to have the option to refuse at the point of collection, so the box will remain visible. See International Marketing Email Rules.
Every marketing email has an "Unsubscribe" link at the bottom. Recipients will see a confirmation page and must click "Confirm unsubscribe" to complete the process, preventing accidental clicks or security scans from unsubscribing them.
Once a contact unsubscribes, bounces, or marks an email as spam, it is final: even if they purchase again, fill out a form, or check a consent box, they will not be resubscribed to your marketing emails. Automated notifications will continue to be sent.
Adding lists that are purchased, rented, scraped, or obtained from third parties is strictly prohibited for practical reasons:
No. Kanorio does not read, rate, or modify your content before it is sent. Kanorio only does two things:
No. "Store → Customers" only lists buyers who have completed payment; people who only filled out forms can be found in "Contacts."
No. Unchecking is recorded as a clear refusal, so they will not be automatically subscribed in future purchases.
Any email you write and send to a selected audience is considered a marketing email and will only be sent to subscribers. You don't need to judge this yourself.
No. People filling out forms haven't transacted with you yet, and most regions require prior consent. Checkout allows default subscription because the buyer is already your customer.
No. Deleting a contact does not delete the order. Please process refunds and shipping in Transactions.
