After a visitor submits an online form, Kanorio automatically sends a confirmation email to the address they provided, letting them know you have received their submission.
Settings are located in the dashboard under Marketing → Online Forms → Form Confirmation Emails. Each automatic notification type has its own scenario card, where you can toggle confirmation emails and team notifications, and edit the email content.
When you select an "Automatic Notification Type" in a form's settings, it is assigned to the corresponding scenario card and uses that card's confirmation email:
| Notification Type | Suitable Forms | Email Summary |
|---|---|---|
| Contact Inquiry | Contact Us, Quotation, Partnership, Support | Message received; we will reply as soon as possible |
| Appointment Request | Consultation, Trial Class, Store or On-site Service | Request received; we will notify you once the time is confirmed (do not state as confirmed) |
| Event Registration | Seminar, Workshop, Course, Market Registration | Registration complete; please include event time and location in the email |
| Application | Job Application, Member or Distributor Application, Partnership Program | Application received; we will notify you of the result after review |
| Registration/Request | Waitlist, Back-in-stock Notification, Catalog Request, Trial Request | Registration complete |
| Feedback | Satisfaction Survey, Event Feedback, Product Feedback | Thank you for your feedback |
| Other | Does not fit the above categories | Form received |
Forms created with AI are automatically assigned a type. Forms created from scratch default to "Contact Inquiry." Forms without a set type are categorized under "When a visitor submits other forms." Forms of the same type share one confirmation email. For example, if you add time and location details to the "Event Registration" email, all registration forms of that type will reflect these changes.
If you do not want to send a confirmation email for a specific form, go to that form's "Settings" > "Automatic Notification Management" and uncheck "Notify form submitter" via email. Other forms of the same type will continue to send emails as usual.
Confirmation emails automatically include the form name, submission time, and answers to multiple-choice, date, time, and rating questions (e.g., which session was selected). Visitor-entered text, email addresses, phone numbers, and uploaded files are not included in the email. Anyone can submit a form using someone else's email; if comments were sent as-is, they could be used to send spam or phishing links to others.
Each scenario card's "Notify Website Team" option allows you to receive alerts when a form is submitted:
If you want to save your quota, you can disable "Notify Website Team" emails for that specific type and rely solely on the Kanorio Inbox.
In the scenario settings panel, click "Edit Content" under "Notify Customer" to modify the subject line, greeting, and body text. Editing methods, auto-filled data, previewing, and sending test emails are the same as for store notifications; see "Editing Emails Sent to Customers" in . You can switch the preview data to "Most recent submission."
Anyone can submit a form using someone else's email address, which poses a risk of abuse. Therefore, this feature is only available on Pro plans and higher, counts toward your sending quota, and must be sent from your own domain.
Go to that form's "Settings" > "Automatic Notification Management" and uncheck "Notify form submitter" via email. Other forms of the same type will continue to send emails as usual.
