Contacts with access are your students. Access can be granted through purchases, free enrollment, or manual activation by you. This guide explains how to view students, manage manual activations and revocations, and the rules governing access in various scenarios.
Open your course and go to the "Students" tab (requires "View Customers" permission). Each student appears as a row:
| Field | Description |
|---|---|
| Contact | Name and email. For courses, click the name to view learning details; for download packages, click the name to view contact information. |
| Status | For courses: Not Started, In Progress, or Completed; for download packages: Downloaded or Not Downloaded. |
| Progress | Completion percentage for courses; number of files downloaded for download packages. |
| Watch Time | Actual time the student spent watching videos (courses only). |
| Last Activity | Time of the last view or download. |
Download history is recorded regardless of how access was granted; downloads by students added manually or via free enrollment are tracked. You can also see the number of downloads per item in the order details.
Click "View All" under "Students needing attention" on the course "Overview" tab to open a pre-filtered list of these students.
Click a student's name to open their learning details on the right. This includes activation, start, last activity, and completion dates, watch time, certificates, and two tabs:
Learning details do not display the student's IP, location, device, or specific timestamp of activity.
Course-wide metrics (completion rate, drop-off points, retention curves) are available on the course "Overview" tab. To learn how to use these metrics to identify students who need attention and improve your materials, see Learning Insights and Course Optimization.
Click the "⋯" icon on a student's row or the bottom-right of the learning details to perform these actions (requires "Manage Customers" permission):
For offline students, corporate bulk purchases, gifts, or bank transfers, you can grant access without a purchase:
Granting access does not send an email notification to the student. Please inform them through your own channels: ask them to go to your site's /account page and log in using their email to receive a verification code. To notify a group at once, you can tag them and send a newsletter; see Student Engagement and Lists.
Go to "Customers › Contacts", click on the student, and switch to the "Access" tab:
| Scenario | Can the student still access it? |
|---|---|
| Multiple access rights (e.g., purchased a 1-year plan and then a lifetime plan) | The most permissive access right applies. |
| Expired | No access. "My Content" will show "Expired". |
| Revoked | Access is denied upon the next attempt to open. Videos already playing will remain accessible until the playback link expires. |
| Product Archived | Yes. Archiving only stops new sales. |
| Course Archived | Yes. Archiving prevents new students from enrolling. |
| Content updated or file replaced | Yes, and the new version is visible immediately. |
| Full refund or all items refunded | Access is automatically revoked. Partial refunds are retained by default; see Refund Policy for rules. |
In "Site Settings › Customer Accounts", you can limit the number of devices a student can use to log in simultaneously. When the limit is exceeded, the oldest device is logged out. If a student reports their account has been compromised, you can log them out of all devices; see Customer Login and Customer Center.
Once you have confirmed receipt of payment, use "Grant access to contacts" to add the student's email. If you want this revenue to be recorded in an order, please use product selling instead, allowing the student to check out on your site.
Please ask the company to provide a list of student emails, then use "Grant access to contacts" to paste them all at once (up to 500 per batch), setting the expiry date to the contract end date.
Please follow the troubleshooting steps in Student Learning and Downloads to verify their email, order status, and access permissions.
No. You can "Mark as Completed" to set the entire course as finished, or "Reset Progress" to let the student start from the beginning.
