Do you often find yourself struggling with scattered customer lists? Buyers are in your store dashboard, inquiry form submissions are in Google Forms, and potential leads are tracked in Excel. Whenever you want to send a new product update, you have to open a separate newsletter tool and manually copy-paste your lists. The tools themselves aren't difficult, but the fact that your customer data is fragmented makes it impossible to answer a simple question: Who is this person, and how have they interacted with us?
Many people end up scrambling to organize lists before a campaign, sending the emails, and then letting the data sit until the next time. You spend all your time moving data around instead of writing the message you actually want to share with your customers.
Good news: you can stop doing that now! Kanorio has added "Customer Management." From the moment a customer leaves their information and enters your list, to sending them emails and triggering automated notifications, everything is handled in the "Customers" section of your dashboard. No need to connect external tools or manually sync data. Let’s walk through the customer journey step by step.
Customer management starts with a list. Kanorio contacts come from three sources: buyers who place orders, people who fill out online forms, and contacts you add manually. Each person is identified by their email or phone number, so even if the same person fills out a form and later makes a purchase, they remain a single profile—no duplicates.
With a unified list, many manual tasks become simple. You can segment your audience based on criteria, such as filtering by buyers or sorting by total spend, and export your data directly. If you run an online store, this list automatically serves as your repeat customer list, with no need to export and clean up data from your orders.
To grow your list, you need a place for people to leave their information. Contact forms, inquiries, appointments, and event registrations can all be handled with online forms.
Compared to embedding a Google Form, the biggest difference is that form submitters automatically become your contacts, and their responses are stored right alongside their profile. For many small brands, simply eliminating the "copy-paste form responses into the newsletter list" step is a huge relief.
Once your list is built, the next step is proactive communication. Whether it's a new product launch, a holiday promotion, or a change in business hours, you can write and send an email to your subscribers. You don't have to start from scratch—use AI to help generate content, then tweak it to your liking. The editor allows you to fill in the subject, summary, and body on the left while previewing in real-time on the right. You can toggle between desktop, mobile, and light/dark modes, and even insert "Recipient Name" placeholders to personalize every email. Your logo, brand colors, and footer info are pulled from your site settings, so you only update them once. You can also send a test email to yourself before hitting send.
We know you don't want to spam your customers, so bulk emails are only sent to those who have opted in. Every email includes an "Unsubscribe" link, and you can set a sending frequency (from 12 hours to 7 days) to ensure the same customer doesn't receive too many emails in a short period. For critical announcements like business hour changes, you can choose to bypass these limits.
While bulk emails are proactive, another type of email is triggered automatically by customer actions: payment confirmation, order shipment, refund requests, and form submissions. Kanorio has already set up these common scenarios for you—you just need to decide which ones to enable, adjust the text, and choose whether to notify your team.
If you need to process order or form data in your own system, the Business plan also supports Webhook integration.
From lists and forms to bulk emails and automated notifications, the entire customer management process is now handled in one dashboard.
Now that you understand the management and maintenance process, here is the breakdown of costs. In Kanorio's Customer Management, the Free plan allows you to use contacts, segmentation, online forms, and view response/sending history. Transactional emails like order confirmations, shipping updates, and refunds are sent on all plans without counting against your limits.
When you need to send external emails (form confirmation emails, bulk emails), simply upgrade to the Pro plan or higher:
| Plan | Features | Monthly Included Quota | When Quota Is Exceeded |
|---|---|---|---|
| Free | Contacts, Segmentation, Online Forms, Sending Logs, Transactional Emails | None | Cannot send emails that count toward quota |
| Pro | Includes Form Confirmation Emails, Form Team Notifications, Bulk Sending, Custom Sending Domain | 100 emails | NT$25 per 100 emails/month |
| Business | All Pro features, plus Webhook | 1,000 emails | NT$25 per 150 emails/month |
Form confirmation and bulk emails require the Pro plan or higher because these emails must be sent from your own verified domain. Anyone can use someone else's email to fill out a form; if you use a shared address, malicious actors could impersonate your forms to send emails to others. Using your own domain ensures customers know the email is from you and helps prevent your messages from being marked as spam.
Limits are recalculated monthly, and you can enable auto-top-up to ensure form confirmation emails aren't paused if you run out of credits. Pricing is based on your subscription currency. For details, refer to "Sending Domains, Email Appearance, and Sending Limits," or view the full plan comparison on our pricing page.
This feature is perfect for small teams running a brand website who want to centralize inquiries, registrations, and subscriptions. It's also ideal for store owners who want to use their buyer list for repeat purchase notifications and new product teasers. Creators and instructors can use forms to collect registrations and keep in touch with their audience via newsletters.
However, it's not for everyone. If you already have a mature newsletter tool, a list of tens of thousands of contacts, or require SMS notifications (bulk emails are currently Email-only) and complex automation workflows, Kanorio is not designed for that scale yet. But for the "website + small-scale customer management" scenario, it fills the gap that was previously the most difficult to manage.

You can send transactional emails like order confirmations, shipping updates, and refunds on all plans without counting against your limits. Form confirmation and bulk emails require the Pro plan or higher.
Not for transactional emails; they will be sent from a default Kanorio address until verified. Form confirmation and bulk emails must be sent from your own verified domain, so you must complete this setup before sending these types of emails.
Bulk emails are only sent to subscribers who have opted in. Please do not add lists that were purchased or scraped from elsewhere. For lists that have already consented to receive emails, please refer to the Help Center: Subscription Rules in Customer Management.
Automated emails like form confirmations will be paused, and you will be prompted to purchase more when sending bulk emails. You can also enable auto-top-up, which allows up to 5 automatic top-ups per month.
Go to "History" to see the status of every email sent. If an email wasn't delivered, the reason will be noted—most commonly due to an unverified sending domain or depleted credits.
If you have a scattered customer list, now is the perfect time to organize it. Place a form on your site, verify your sending domain, and send your first newsletter. You'll find that the most time-consuming part wasn't writing the email—it was the manual data entry and list management you had to do before.
